Job Description
The Account Coordinator delivers fast, friendly, and knowledgeable support to customers while managing multiple complex orders from initial quote through production and shipment. This role combines customer service, light sales, and detailed order management, requiring strong organization, clear communication, and a calm, solution-focused approach in a fast-paced environment.
Responsibilities
Communicate with customers by phone and email, providing fast, friendly, and knowledgeable support throughout the order lifecycle.
Manage multiple complex orders simultaneously at different stages, from initial quote to production to shipment, ensuring every detail remains organized and accurate.
Process both stock and custom orders with a high level of accuracy, precision, and attention to detail.
Balance a high volume of emails with incoming calls while maintaining responsiveness, professionalism, and strong follow-through.
Maintain ongoing communication with customers throughout the order process, providing proactive updates and timely responses.
Assess customer needs, timelines, and deadlines to recommend appropriate products and service solutions from a broad product line.
Provide pricing information, coordinate and share art proofs, and clearly communicate timelines, shipping updates, and order status.
Partner closely with internal teams to coordinate order details, clarify requirements, and manage change requests effectively.
Troubleshoot order challenges and last-minute issues, remaining calm, resourceful, and solution-focused under time-sensitive conditions.
Perform accurate data entry and administrative support tasks related to order processing, documentation, and customer records.
Use ERP or order-entry systems and Microsoft Office tools to manage orders, track information, and support customer needs.
Build strong customer relationships through professional, friendly communication and effective rapport-building.
Skills and Qualifications Required
2+ years of experience managing accounts or processing complex, detail-driven orders, ideally in a contact center or high-volume support environment.
Demonstrated customer service, customer support, or account management experience with a focus on accuracy and follow-through.
Experience identifying customer needs and recommending appropriate product or service solutions, with soft sales experience preferred.
Attention to detail and a process-oriented mindset when handling multiple orders and customer requests.
Proven ability to manage multiple priorities and stay organized in a fast-paced environment.
Ability to stay calm, patient, and solution-focused when working with customers facing time-sensitive deadlines.
Problem-solving skills, including the ability to research information and troubleshoot issues independently.
Professional, friendly communication style in both verbal and written formats, with excellent listening and rapport-building skills.
Comfort working at a computer for the majority of the workday.
Proficiency with Microsoft Office applications.
Experience using ERP or order-entry systems.
Minimum typing speed of 45 words per minute.
Work Environment
This role follows a hybrid work schedule, with most work performed onsite and the option to work from home two days per week. The position is computer-based for the majority of the workday and involves frequent use of Microsoft Office and ERP or order-entry systems. Pay and Benefits
The pay range for this position is $23.00 - $26.00/hr.
