RESPONSIBILITIESExecutive & Administrative Support
- Manage complex calendars, schedule meetings, coordinate travel, and organize logistics for Sales leadership
- Prepare and submit expense reports accurately and on time
- Serve as primary liaison with meeting planners, hotels, and vendors
- Draft, proofread, and deliver clear, professional communications on behalf of leadership
- Ensure timely follow-up and communication on key priorities, deadlines, and requests
Sales Coordination & Operations
- Maintain and update sales rosters, organizational data, and internal records
- Coordinate communication and workflow needs across Sales, Marketing, Customer Service, Training, and Commercial Operations
- Assist with supply ordering, purchase orders, and general operational support
- Serves as the single point of contact for all sales rep sample and trial orders, ensuring clear communication, timely coordination, and accurate fulfillment
Reporting & Data Management
- Generate recurring sales and expense reports using advanced Excel (pivot tables, data analysis, reporting tools)
- Translate data into clear, concise summaries and presentations for leadership
- Prepare polished presentations and documents using PowerPoint and Word
Communication & Collaboration
- Serve as a key point of contact for the Sales organization, ensuring clear, timely, and professional communication
- Respond promptly and effectively to emails, calls, and requests from leadership and field teams
- Collaborate cross-functionally to ensure smooth execution of sales initiatives and processes
- Communicate complex information in a simple, structured, and actionable way
Qualifications:
- 35 years of experience in an administrative, sales support, or coordinator role
- Demonstrated experience supporting senior leaders or commercial teams
- Advanced proficiency in Microsoft Excel, PowerPoint, and Word (required)
- Experience working with CRM and Data Analytics systems (PowerBI and Microsoft Dynamics 365 strongly preferred)
- Exceptional written and verbal communication skills, with the ability to interact confidently with senior leadership
- Strong organizational, time management, and multitasking skills
- Ability to manage multiple priorities in a fast-paced environment with minimal supervision

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $53,000-$71,000. The actual base pay includes many factors, and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
