Job Description
Key Responsibilities:
Handles incoming calls from public employees to discuss retirement planning, investment allocations, rollovers, account retention and other retirement plan service requests. Assists participants with enrollment by answering questions and walking them through the steps.
Meets with participants to discuss retirement planning, investment allocations, rollovers, account retention, enrolling in the program and other service requests. Handles walk-in distribution to ensure participants are met with in a timely manner, while balancing phone service standards, too.
Conducts quality check documents for rollovers, transfers and account retention to ensure all is in good order to be submitted to the client to process. Contacts participants to correct paperwork not in good order as requested by the client. Ensures business rules and retention processes are followed for rollout requests.
Conducts processes, including: enrollment, withdrawal, roll-in, rollout, unforeseeable emergency applications, death claims and other types as needed.
Drafts and manages marketing emails with Nationwides email team. Coordinates efforts between the client and Nationwide, confirming each process is executed accurately. Through marketing emails, provides information and education to plan participants and assist employers with enrolling employees.
Manages all administrative functions for the Service Center and field representatives (staff of 48) such as management of office inventory and equipment. Works with external vendors for printing, mail, shredding, janitorial services, etc. Provides service coverage for reception area, managing flow of customers and triage needs for all in-person visitors to the office.
Develops workflows and administrative procedures-based client's business rules. Provides training and instruction to customer service representatives and collects requests from all office associates for documents to be fulfilled, individual account processing requests and notifications on accounts. Reviews all requests for accuracy and submits to correct team/area for processing. Prepares training materials for use with new hires as well as training associates on new processes. Acts as subject matter authority for the entire team, including field sales representatives.
Responds to participant inquires submitted by email, providing customer service in a timely manner. Develops and manages common responses used by the team to be sure consistent responses are delivered to customers for all inquiry types.
May perform other responsibilities as assigned.
Reporting Relationships: Reports to Assistant Program Director and does not have direct or indirect reports.
Typical Skills and Experiences:
Education: Undergraduate degree preferred.
License/Certification/Designation: FINRA Series 6 License required. Many associates in this role also obtain CRC or ChFC designations.
Experience: Two years of experience in retirement plans customer service, specifically serving Ohio Deferred Compensation plan participants.
Knowledge, Abilities and Skills: Strong Excel knowledge. Understanding of Ohio Deferred Compensation plan processes, structure and business rules. Requires in-depth knowledge of Ohio Deferred Compensation systems, client business rules and processes. Ability to prioritize daily work requirements and effective time management skills. Strong attention to detail and verbal and written communication skills. Skilled with effective customer service.
Other criteria, including leadership skills, competencies and experiences may take precedence.
